SERVICE POLICIES

1. Scheduling & Attendance

  1. Cancellation or rescheduling of Personal Training or Strength & Conditioning Sessions must be made 24 hours in advance of the scheduled training session. While rescheduling may occur on the system, it should be noted that any sessions cancelled or rescheduled less than 24 hours of original appointment will count as a ‘MISSED session’ and deducted from member’s session balance. Repeat violations of this policy may result in membership being revoked.
  2. Personal Training members arriving late will receive the remaining amount of scheduled time (Unless arrangements have been made with IPC). Members arriving more than twenty (20) minutes late will forfeit their scheduled appointment resulting in a ‘MISS’.
  3. All members MUST schedule in their sessions using the website software or mobile app. Members who arrive without a scheduled appointment may have session time reduced or be asked to leave. Please note that the scheduling software has a built in time buffer of 12–18 hours depending on selected session type.
  4. Strength & Conditioning sessions are only conducted during allocated time blocks (check website, social media or member portal for available times). Allocated hours may be subject to change without notice. This includes closures and/or reduced hours for statutory holidays, professional development, events and/or facility maintenance.
  5. Training sessions may only be conducted at Iron Performance Center and during normal business operating hours. Off site or in-home sessions are not permitted.

2. Memberships & Packages

  1. Personal Training Session packages (4,8,12,16) expire 42 days from date of signature. Remaining or unused sessions shall not be validated.
  2. If paying bi-weekly, first bi-weekly payment will be due on the date of signing and another two (2) weeks following. Trial based service sessions must be used within 10 days of purchase.
  3. Strength & Conditioning (1x/Week, 2x/Week & Unlimited) payments are recurring and billed automatically every 4 weeks. Unfulfilled billing or incomplete account information may result in termination of membership and/or refusal of service until fulfilled/complete.
  4. Strength & Conditioning Unlimited Sessions include up to 6 sessions/week. Unlimited training payment subscription covers duration of service for 4-weeks and will recur automatically. Medical reasons and/or other exceptions will be made on a case-by-case basis. Iron Performance Center reserves the right to not extend duration of service.
  5. Strength & Conditioning 1x/Week, 2x/Week & Unlimited memberships reset session availability weekly from billing date.
  6. Strength & Conditioning sessions must be used within the week and billing cycle. Unused sessions do not roll over weekly and cannot be transferred to another person.
  7. Training frequency (1x/week, 2x/week, Unlimited) will determine the length of the program built. Members with Unlimited memberships should communicate their typical frequency in order to have the program match for optimal performance. Members wishing to increase frequency should provide notice to coaching staff in order to have the training plan adjusted for their upcoming (next) program card.
  8. Memberships are eligible for a maximum of two (2) holds (or freezes) of up to 14-days each per calendar year. Should maximum 14-days (per hold) be surpassed, membership will resume normal billing cycle.

3. Payment Policies

  1. Strength & Conditioning membership payments are billed every 4 weeks from sign-up/registration date and recur automatically.
  2. All members are required to keep a credit card on file.
    C. Members wishing to update their credit card information can do so on their members app or contact Iron Performance Center for a request link. Members are responsible for keeping credit card information up to date to avoid unnecessary bank disputes.
  3. 15-Days written notice is required before billing renewal or expiration if looking to cancel, freeze or downgrade membership plans. Requests made with less than 15-Days notice are subject to prorated charges and/or additional administration charges.
  4. Members wishing to upgrade membership or frequency should provide written notice. Membership will be upgraded on the next billing cycle or have the current membership bill prorated to accommodate the upgrade.
  5. No training refunds will be issued excluding medical illness in which case a signed physician’s note is required.
  6. Should any exemption refunds be issued, they will be prorated from the previous billing date and/or be subject to a $20 administration charge.
  7. Members wishing to dispute payment issues should contact Iron Performance Center via email (info@ironperformance.ca) directly. Members who decide to dispute payment or billing through their banking institution will be subject to a $40 dispute charge.
  8. Non-recurring memberships, packages, offers and/or bundles are not eligible for discounts and/or refunds.

Virtual Coaching

  1. Virtual coaching payments are subscription based with payment collection occurring automatically every 4-weeks.
  2. Virtual Coaching cancellation or freezing of subscription will only occur with 15-days written notice before the next scheduled bill date.
  3. Virtual Coaching cancellations or freeze requests made with less than 15-days written notice are subject to an additional billing cycle charge.
  4. Virtual Coaching members will remain active on our platform for up to 15-days after cancellation, at which point, they will be removed from our system.
  5. Virtual Coaching drop-in office hours are subject to change. Text responses through the app may take up to 48 hours for a reply.

Facility & Conduct

  1. All members are required to abide by our Code of Conduct.
  2. Strength & Conditioning members are responsible for following their individualized program cards and conducting training during allocated Strength & Conditioning hour time blocks on site.
  3. Minors may be trained ONLY if the parent/guardian has signed the agreement. A minor is considered any client less than 18 years of age at the time the agreement is signed.
  4. Unless requested in writing, active members give permission for Iron Performance Center to use their likeness in and on any marketing materials including social media (Facebook), website, articles, radio and any equivalent.
  5. Iron Performance Center reserves the right to adjust/terminate agreement in circumstances including but not limited to: number of participants, additional or subtracted services, customer dissatisfaction or disagreement.
  6. Iron Performance Center reserves the right to refuse service and have patrons in violation of the Code of Conduct vacate the premises.

TEAM TRAINING POLICIES

1. Booking & Scheduling

  1. Booking Window: Team bookings open 60 days prior to the start of a seasonal term. (Example: August 1st for an October start)
  2. Confirmation Period: Teams will have two (2) weeks from the booking window opening to confirm their schedule. After this period, requested times may be released to other groups. Teams confirming scheduled times are financially responsible for selected slots.
  3. Preferred Times: Session requests will be reviewed on a first come, first serve basis. IPC cannot guarantee requested times. Teams on a monthly contract are subject to availability each month and cannot be guaranteed the same time slot beyond the current booking period.
  4. Rescheduling: Requests to reschedule must be made a minimum of one (1) week prior to the next scheduled session and must be completed within the seasonal term. All rescheduled sessions are subject to availability.
  5. Non-Transferable: Team sessions are non-transferable between groups, athletes, or programs.

2. Cancellations & Missed Sessions

  1. Notice Requirement: Cancellations require a minimum of one (1) week notice before the next scheduled session.
  2. Late Cancellations: Sessions cancelled with less than one week’s notice will be considered a ‘MISS’ and cannot be rescheduled.
  3. Cancelled sessions must be rescheduled within the same seasonal term and cannot be carried into the next term or year.
  4. Refunds: Teams on contract are not eligible for refunds. However, sessions may be rescheduled within the contract term provided scheduling allows.

3. Contract Term & Completion

  1. Fixed Term: Contracts will include clear start and end dates. Sessions must be completed within this period. Unused sessions expire at contract end and cannot be carried over.
  2. Monthly: Teams scheduling sessions monthly will be responsible for selected time slots unless cancelled within the cancellation period. Teams not fulfilling agreed upon monthly booked times will remain financially responsible for the cost of those booked time slots.
  3. Statutory Holidays: Sessions that fall on statutory holidays will not run. Teams may request to reschedule within the term, subject to availability. Hours of availability may be reduced and/or changed at the discretion of IPC without notice due to facility maintenance, events, or professional development.
  4. Break Weeks: IPC reserves the right to designate scheduled breaks (e.g., Winter Break, March Break). These will be communicated and agreed upon at the start of the contract to allow athletes to participate in modified training..
  5. Unforeseen Circumstances: Should uncontrollable circumstances (facility closures, natural disasters, etc.) occur, both parties will agree on a reasonable extension period.

4. Payment & Invoicing

  1. Invoices: Invoices will be issued to the designated team coach or organizer at the end of each month, unless otherwise specified in the agreement.
  2. Payment Due Dates: For teams on contract, payments are due on the scheduled dates outlined in the agreement (e.g., start of season, mid-season, etc.).
  3. Late or Incomplete Payments: Failure to pay on time may result in suspension of services until the balance is cleared. Late payments may be subject to additional administrative or late fees as determined by IPC.

5. Capacity & Commitment

  1. Typical Session Capacity: Sessions will run with a maximum of 12 athletes per time slot, unless otherwise defined in the contract.
  2. Session & Roster Limits: Maximum weekly sessions and roster numbers will be set in the contract. Exceeding capacity may result in additional session fees. Requests to expand roster or increase capacity must be submitted in writing and approved by IPC in advance.
  3. Minimum Commitment: Partner pricing and contract terms are based on the agreed minimum commitment of sessions or total seasonal payment. Teams on Monthly agreements will be responsible for the confirmed time slots within the next billing month unless stated otherwise.

6. Facility & Conduct

  1. All athletes, organizers and coaches are required to abide by our Code of Conduct.
  2. It is the responsibility of the organizer or coach to get parent/guardian consent for allowing underage athletes (under 18 years of age) to participate and train with Iron Performance Center. Iron Performance Center will be under the assumption that the organizer or coach has acquired parental consent for athletes to participate and that parents/guardians understand the risks of physical activity, training and exercise as well as agree to our policies, code of conduct and waiver declaration.
  3. Unless requested in writing, athletes give permission for Iron Performance Center to use their likeness in and on any marketing materials including social media (Facebook), website, articles, radio and any equivalent.
  4. Iron Performance Center reserves the right to adjust/terminate agreement in circumstances including but not limited to: number of participants, additional or subtracted services, customer dissatisfaction or disagreement.
  5. Iron Performance Center reserves the right to refuse service and have patrons in violation of the Code of Conduct vacate the premises.

CODE OF CONDUCT

1) Members must be 18 years old to participate unless consented for by a parent or guardian of legal age.
2) Please wear appropriate exercise attire at all times. Shorts with no less than a 1 1/2 inch inseam and a shirt must be worn to cover the upper body; proper athletic shoes are also required and need to be clean. Casual clothing is NOT allowed. No jeans, jean shorts, or any article of clothing with zippers or rivets. No open-toed shoes, open-backed shoes, boots, sandals, or casual shoes are allowed. Failure to dress properly will result in denial to workout.
3) Please be respectful of other members in the gym. Do not disrupt or interfere in another member’s workout.
4) Horseplay, profanity, racist or sexist comments will NOT be tolerated in Iron Performance Center.
5) Please observe proper personal hygiene by showering regularly, wearing clean clothing and using deodorant.
6) Personal items are NOT permitted on the gym area of Iron Performance Center. Please keep your valuables in the provided cubbies.
7) Eating or drinking on the gym floor of Iron Performance Center is not permitted. Water bottles are allowed.
8) Weight plates are NOT to be leaned against equipment stands, walls or machines.
9) Only Iron Performance Center Personal Trainers and Coaches are permitted to provide instruction on exercise technique or equipment preparation and adjustments. No outside Personal Trainers or Coaches are permitted.
10) Report all equipment malfunctions, personal injuries and specific concerns immediately to the staff on duty.
11) The use of camera/video enabled devices is strictly prohibited in change rooms and washrooms. The use of camera/video enabled devices in all other areas of the facility is allowed provided it is for personal use only, does not disrupt the activity of others, and is in accordance with the Iron Performance Center User Code of Conduct and posted Safety Standards. Please be respectful of others: avoid capturing others in the background of photos and make phone calls/send texts outside the main gym area.
12) Written permission from Iron Performance Center is required prior to capturing any images or video for professional or commercial use within the facility.
13) Members who participate at Iron Performance Center will be doing so at their own risk. Iron Performance Center is not responsible for any injury that may occur to individuals participating in any exercise activity.
14) It is the member’s responsibility to follow all posted rules. Please ask the staff on duty if you have any questions or need assistance.
15) Iron Performance reserves the right to refuse service and have patrons in violation of the Code of Conduct vacate the premises.
